Capture tribal knowledge before it becomes a bottleneck
The person who knows how everything works should not also be the search engine, help desk, and onboarding program.

Tribal knowledge is often practical, not secret
The missing knowledge is usually embedded in ordinary actions: which report to check first, what an error message really means, when to use the exception path, or who needs to approve the final step. Experts make those decisions quickly because they have accumulated context.
A blank wiki does not extract that context. It creates another task for the same busy person and often captures the official process instead of the real one.

Capture the task and the judgment around it
A focused recording gives the expert a simpler role: do the work and, when useful, explain the judgment behind it. The resulting evidence can be structured into a procedure instead of asking the expert to compose one from a blank page.
Review still matters. The expert or an accountable owner should be able to correct the result, remove sensitive details, and approve what becomes shared knowledge.

Make the knowledge reusable
Captured knowledge is more valuable when it is not trapped inside a video. A team should be able to browse a procedure, find one answer, follow a walkthrough, and see whether the information is current and approved.
Over time, multiple recordings can reveal variants, disagreements, and outdated habits. Those differences are useful signals for improving the process, not noise to be hidden.

Reduce dependence without erasing expertise
The goal is not to replace the person who knows the work. It is to stop making their availability the only path to progress. Clear escalation remains important when the knowledge base does not have enough evidence.
